Receptionist

Position Overview

The Receptionist is responsible for a wide variety of clerical office duties in support of Intelex’s administration. This includes greeting visitors, answering and referring inbound telephone calls, and general office maintenance. The Receptionist is also responsible for administering a variety of tasks as required.

Responsibilities and Deliverables

  • Greeting clients, in person or on the telephone; answering or transferring calls to the appropriate individuals or departments.
  • Maintain current Intelex extension number list.
  • Monitoring, maintaining and ordering office supplies to ensure that office equipment is stocked with paper, ink and toner.
  • Maintain kitchen facilities daily to ensure that each is tidy and stocked with necessary supplies.
  • Coordinating catering for company and client meetings and training sessions, setting up coffee and/or catered meals to clients as required.
  • Ensuring meeting rooms are presentable on a regular basis.
  • Planning, coordinating, picking up of breakfast orders on Thursdays and birthday cakes once a month.
  • Sorting and delivering daily mail to all departments and employees; coordinating parcels to be couriered or sent by regular mail.
  • Liaise with building management to resolve any issues, and security requests.
  • Assist in planning and executing employee functions and events.
  • Responsible for supporting travel arrangements for business travel and administering the travel online tool.
  • Assisting various departments with specific projects and tasks.
  • Other projects as required.

Qualifications

  • Minimum of 1 years’ experience in experience working in an office administrative position
  • Experience working in a professional office environment
  • Personable, courteous and punctual
  • Self-starter who takes on new tasks with enthusiasm
  • Proficient in Microsoft Office (Word, Excel and Outlook) and Adobe
  • Exceptional customer service skills and effective communication both written and verbal.
  • Good organizational skills
  • Ability to work independently and make well-educated decisions.
  • Ability to handle confidential information in a professional manner.
